Privacy Policy

This policy explains how VRC Mobility (M/S Vinay Shukla) handles your personal data in line with the Digital Personal Data Protection Act, 2023 (DPDP Act) and the Information Technology Act, 2000.

1. Who we are (Data Fiduciary)

VRC Mobility is operated by M/S Vinay Shukla, a proprietorship registered in India (GSTIN 09CPHPS1508H1ZQ), with its principal place of business at BELAIURI, WEST, RAMGARH, Sonbhadra, Uttar Pradesh — 231213. For the purposes of the DPDP Act 2023, M/S Vinay Shukla is the Data Fiduciary that determines the purpose and means of processing your personal data. “We”, “us” and “VRC Mobility” refer to this entity.

2. What personal data we collect

We collect only the data we need to respond to enquiries and provide freight services:

  • Enquiry / booking data: your name, organisation, email address, phone number, city, and the cargo / lane details you share (pickup, drop, vehicle type, load description).
  • Fleet-partner data: for truck owners, your vehicle details (type, RC), and KYC documents you choose to submit to onboard.
  • Technical data: basic device and usage information (IP address, browser type, pages viewed) collected via cookies and analytics to keep the site secure and working.

We do not knowingly collect data from children, and we do not intentionally collect sensitive personal data beyond what you voluntarily provide for a booking.

3. Why we process your data (purpose)

  • To respond to your enquiry with capacity confirmation and a freight quote.
  • To arrange, dispatch, track and bill freight movements you book.
  • To onboard and settle payments with fleet partners, and to meet tax obligations (GST invoicing, Section 194C TDS).
  • To improve the website, prevent fraud and abuse, and comply with applicable law.

4. Lawful basis and consent

We process your data based on the consent you give when you submit an enquiry or booking, and for the legitimate uses permitted under the DPDP Act (such as responding to a request you initiated and meeting legal obligations). By submitting a form or contacting us, you consent to processing for the purposes above.

5. How we share data

We do not sell your personal data. We share it only as needed to deliver the service:

  • With the fleet partner / driver assigned to your shipment, limited to what is required to complete the trip.
  • With service providers who help us operate (for example email delivery, hosting, analytics, and payment processing), under confidentiality obligations.
  • Where required by law, regulation, court order, or to protect our rights and users.

6. Data retention

We keep enquiry and booking data for as long as needed to serve you and to meet legal, tax and accounting requirements — generally up to eight (8) years for records tied to GST invoices and financial transactions, as required under Indian tax law. Enquiries that do not result in a booking are retained for up to 24 months and then deleted or anonymised, unless you ask us to erase them sooner.

7. Your rights under the DPDP Act

As a Data Principal, you have the right to:

  • Access a summary of the personal data we hold about you and how it is processed.
  • Correct, complete or update inaccurate data.
  • Erase your data where it is no longer needed for the purpose it was collected.
  • Withdraw consent at any time (this will not affect processing already carried out lawfully).
  • Nominate another person to exercise your rights in the event of death or incapacity.
  • Grievance redressal (see Section 10).

8. Cookies

We use essential cookies to run the site and optional analytics cookies to understand usage. You can control cookies through your browser settings; disabling some cookies may affect site functionality.

9. Data security

We apply reasonable technical and organisational safeguards to protect your data against unauthorised access, loss or misuse. No method of transmission or storage is completely secure, but we work to protect your information and to notify affected users and authorities of a reportable personal-data breach as required by law.
